A paycheck stub is the receipt an employer provides to an employee or contract worker summarizing their wages for a recent pay period. You may provide an employee with a paycheck stub attached to their paycheck, if you hand out physical paychecks as a payment method. If you pay an employee by direct deposit, you can hand out a paycheck stub, email their paycheck stub or utilize an online payroll company that will provide employees with online accounts that contain their paycheck stub. A sample paycheck stub would include check date, pay period dates, net pay amount, gross pay amount, taxes deductions and other deductions.

It is your responsibility to review and confirm that all information on your paycheck stub is accurate, including the spelling of your name, your address, your social security number, the amount and type of your deductions, and the amount and type of your earnings. Benefits eligible employees are also responsible for confirming accurate accrual and use of all paid annual leave and sick leave. Non-exempt employees are also responsible for tracking the accrual and use of compensatory time, if compensatory time is earned. Errors or questions should be reported immediately to your payroll representative. A sample paycheck stub is displayed at the end of this document.

Employee Name: Your name as it appears in the Payroll system.

Ending Date: End date of the biweekly pay period for which the check is being issued.

Date Issued: Date the Advice or State Warrant is issued.

Advice/Warrant Number: Self-explanatory.

Gross Pay:

Current - The gross pay received this biweekly pay period.
Year to Date - Total gross pay received for the calendar year, including current amount.

Note: To determine your biweekly gross salary, use one of the following calculations:

1. Annualized Salary ¸ by hours in the work year ´ the number of hours worked, or
2. Annualized Salary ¸ by number of pay periods in the work year, or
3. Hourly pay rate per Position ´ the number of hours worked. (2000-2001- FY: 2080 hours, 26 pay periods. Academic Year: 1760 hours, 22 pay periods)

Net Pay: The amount of your check is Biweekly Gross Pay less Deductions

Current - Biweekly Gross less current Deductions.
Year to Date - Total gross received for the calendar year, including current amount.

Hours: Reports vacation, sick and/or comp time hours adjusted, earned and used, as well as beginning and ending balances. An employee must be on the Central Vacation/Sick Leave System for leave hours to be reported. You should verify this critical information on each paycheck.

Type of Deduction: The type of deduction taken from the paycheck according to priority in the payroll system: pre-tax deductions are listed first, then state and federal taxes, and then post-tax deductions. Mandatory paycheck deductions are subtracted from your gross pay in accordance with federal and state laws. Federal and state tax deductions are based on the W-4 and A-4 forms. W-4s and A-4s can be changed through the Payroll Office. Federal and FICA taxes are a percentage of your "taxable income" figure. (Biweekly Gross + cash value of non-cash perquisites - flexible benefits = Taxable Income.)

Mandatory deductions are listed here:

* Federal Tax - Based on "taxable income"
* Additional Federal Tax - Based on amount indicated on Box 6 of Form W-4
* FICA - Percentage of "taxable income" (currently 7.65%)
* State Tax - Based on a percentage of federal tax
* Retirement - Percentage of gross pay
* LTD - Percentage of gross pay (currently .49%)
* Court ordered deductions, for example, child support

Optional paycheck deductions (for example, savings bonds and health insurance) will be subtracted from your gross pay based on your authorization. NOTE: When there are more than two paydays in one month, only mandatory deductions are subtracted from the third paycheck; optional deductions are not subtracted.

Deduction Total: Totals of Current and Year to Date deductions.

Withholding Information: This profiles your current withholding status, number of allowances, state tax percentage, retirement plan, FICA and optional withholdings.

Type of Earnings: Type and number of hours as reported on the Payroll Time Roster and the dollar amount of each type. This critical information should be verified by the employee for each paycheck.

Amount: Net amount (Total earnings less Total deductions) of Advice or Warrant. This amount has been deposited in the account you specified if enrolled in Direct Deposit.

When you have your first paycheck in hand, it may seem like you didn’t make as much money as you had
expected. Why? Because “deductions” are taken out of your paycheck. These deductions include things such as
income tax, Social Security tax, Medicare tax, state or local taxes, and, possibly, the cost of health insurance or other
employer-sponsored plans.
Check each pay stub to make sure your deductions are correct. Payroll departments can make mistakes, too. Also,
keep your pay stubs so you have them to show proof of earnings.
Here are common items you may find on your paycheck stub:
Rate: The hourly rate you are paid.
Hours: The number of hours you are being paid for in this pay period. (Most pay periods cover one or two weeks.)
This Period: How much you were paid this period.
Year to Date: How much you have earned this year.
Gross Pay: The total amount you earned before deductions.
Net Pay: The total amount you earned after deductions. This is the amount you have to live on each pay period.
You may find you’ve had several of the following deductions subtracted from your gross pay:
Federal and State Income Tax: These are the largest deductions from your paycheck. The money helps pay for
the military, roads, schools, police departments, and much more.
Social Security and Medicare Tax: This deduction pays for one-half of your Social Security and Medicare
benefits; your employer pays the other half. About $8 out of every $100 you earn goes to pay these taxes.
Health Coverage: The amount you must pay for your plan.
Life or Disability Insurance: The amount you pay for insurance. You may be able choose how much coverage
you want to have.
Retirement Plan: You choose how much to take out and put into your plan
